Overview:
We are seeking an experienced Title Production Specialist / Title Production Manager to oversee the production workflow for New York and New Jersey title files. This role is responsible for managing new order intake, entering orders into the title production system, coordinating title searches, and ensuring files move efficiently through the production process. The ideal candidate has prior experience working in a title company, is highly organized, responsive, and thrives in a fast-paced environment where accuracy and turnaround times are critical.
Key Responsibilities:
- Receive and process new title orders for New York and New Jersey transactions.
- Enter new orders into TrackerPro or similar title production software.
- Order title searches from approved title examiners and vendors.
- Monitor search requests and proactively follow up to ensure timely completion.
- Coordinate with title examiners to obtain searches within expected turnaround times.
- Review incoming search results for completeness before routing to the next stage.
- Respond promptly to emails, client requests, and internal inquiries.
- Track file progress and ensure orders move efficiently through the production pipeline.
- Maintain accurate file records and update production statuses in the title system.
- Communicate with internal departments to resolve production delays or missing documentation.
- Ensure all production activities comply with company standards and client service expectations.
Qualifications:
Required
- Previous experience working in the production department of a New York or New Jersey title company.
- Hands-on experience handling new order intake and title production workflows.
- Experience using TrackerPro or similar title management software.
- Strong understanding of the title search ordering process.
- Experience coordinating with title examiners and third-party vendors.
- Excellent organizational and time management skills.
- Strong written and verbal English communication skills.
- Ability to prioritize multiple files while meeting deadlines.
- High attention to detail and accuracy.
- Ability to work independently in a remote environment.
Preferred
- Experience managing high-volume title production.
- Knowledge of New York and New Jersey title workflows and county requirements.
- Experience with title insurance agencies, settlement companies, or real estate law firms.
