Overview:

We are seeking an experienced Recording Department Specialist with a strong background in the New York and New Jersey title industry. The ideal candidate will be responsible for preparing, reviewing, and recording post-closing documents while ensuring compliance with all applicable county recording requirements. This role requires meticulous attention to detail, knowledge of county-specific recording procedures, and the ability to process documents accurately and efficiently to ensure successful recording.

Schedule:

  • Monday to Friday
  • U.S. Business Hours (Eastern Time)

Key Responsibilities:

  • Prepare, review, and record real estate documents with county recording offices in New York and New Jersey.
  • Process and submit deeds, mortgages, CEMAs, assignments, satisfactions, UCC filings, and other title-related documents.
  • Verify document accuracy, completeness, and compliance with county recording requirements prior to submission.
  • Monitor recording status and promptly resolve rejected or suspended recordings.
  • Coordinate with title examiners, closers, attorneys, lenders, and county offices to resolve recording issues.
  • Maintain accurate records of submitted and recorded documents.
  • Ensure all post-closing documentation is processed within required turnaround times.
  • Stay current on county-specific recording regulations, fees, and procedural updates.
  • Organize and maintain electronic and physical recording files as needed.
  • Support internal teams with recording-related inquiries and documentation.

Qualifications:

Required

  • Previous experience working in the Recording Department of a New York or New Jersey title company.
  • Hands-on experience recording:
    – Deeds
    – Mortgages
    – CEMAs (Consolidation, Extension, and Modification Agreements)
    – Assignments
    – Satisfactions
    – UCC filings
    – Other real estate and title-related documents
  • Strong knowledge of New York and New Jersey county recording requirements and procedures.
  • Experience identifying and correcting recording issues prior to submission.
  • Excellent attention to detail and organizational skills.
  • Strong written and verbal English communication skills.
  • Ability to manage multiple files and meet strict deadlines.
  • Ability to work independently in a remote environment.

Preferred

  • Experience using electronic recording (eRecording) platforms.
  • Experience with title production or title management software.
  • Familiarity with TrackerPro or similar title software.
  • Experience working with title insurance agencies, settlement companies, or real estate law firms.

Success Measures:

First 30 Days

  • Become familiar with company workflows and county-specific recording procedures.
  • Successfully process assigned recording files with minimal errors.
  • Demonstrate an understanding of recording compliance requirements.

Within 60 Days

  • Independently manage recording submissions for New York and New Jersey files.
  • Resolve recording rejections and deficiencies efficiently.
  • Consistently meet recording turnaround time expectations.

Within 90 Days

  • Maintain a high level of recording accuracy and compliance.
  • Successfully manage a full post-closing recording workload.
  • Contribute to timely closings by ensuring documents are properly recorded and returned.
