Overview:

We are seeking a detail-oriented and organized Property Management Bookkeeper /Administrative Assistant to support the day-to-day financial and administrative operations of a growing property management company. The ideal candidate will have experience with property management accounting, accounts payable and receivable, bank reconciliations, data entry, and Rent Manager software.

Key Responsibilities:

Accounting & Bookkeeping

  • Manage Accounts Payable (AP) and Accounts Receivable (AR).
  • Process vendor invoices and payments.
  • Record tenant payments and charges.
  • Perform bank reconciliations and resolve discrepancies.
  • Maintain accurate financial records and reporting.

Property Management Administration

  • Enter and update tenant, property, and financial information in Rent Manager.
  • Review rent charges and payment postings.
  • Assist with maintenance-related administrative tasks and follow-ups.
  • Support lease and tenant record management.
  • Maintain organized digital records and documentation.

Data Entry & Reporting

  • Ensure accurate and timely data entry.
  • Generate reports as requested.
  • Monitor account balances and transaction activity.
  • Assist with bookkeeping audits and financial reviews.

General Administrative Support

  • Respond to internal requests and administrative inquiries.
  • Follow up on outstanding items with vendors and tenants.
  • Support special projects and process improvement initiatives.
  • Assist ownership with day-to-day operational tasks.

Qualifications:

  • Previous experience in bookkeeping, accounting, or property management administration.
  • Experience with Accounts Payable and Accounts Receivable.
  • Strong bank reconciliation experience.
  • Proficiency in Microsoft Excel and Google Workspace.
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Ability to work independently and manage multiple priorities.
  • Professional written and verbal communication skills.

Preferred Qualifications:

  • Experience using Rent Manager.
  • Property management industry experience.
  • Bookkeeping or accounting background.
  • Spanish-English bilingual skills (preferred but not required).

Schedule:

  • Full-Time
  • Monday–Friday
  • 9:00 AM – 5:00 PM EST

Success Measures:

  • Accurate and timely AP/AR processing.
  • Clean and reconciled bank accounts.
  • Accurate data entry within Rent Manager.
  • Timely completion of administrative tasks.
  • Reduced owner involvement in day-to-day bookkeeping operations.
  • Strong organization and maintenance of financial records.
