Overview:
Aliya Wellness NY is a growing telehealth therapy services provider focused on serving the senior population. We are seeking a highly organized and compassionate Intake Coordinator to manage the patient onboarding process, coordinate appointments, and ensure an exceptional patient experience. The Intake Coordinator will serve as the first point of contact for prospective patients and referral partners. This role is responsible for managing patient intake, verifying insurance information, scheduling appointments, collecting required documentation, and ensuring a smooth onboarding experience from initial inquiry through treatment initiation.
Key Responsibilities:
Patient Intake & Scheduling
- Respond to new patient inquiries via phone, email, and text.
- Conduct intake calls and gather required patient information.
- Schedule evaluations and therapy appointments.
- Coordinate with providers regarding patient scheduling needs.
- Maintain accurate appointment records and follow-ups.
Insurance Verification
- Verify patient insurance eligibility and benefits.
- Collect and review insurance documentation.
- Communicate coverage details and patient responsibilities.
Documentation & Compliance
- Send and collect consent forms and intake paperwork.
- Ensure all required documentation is completed accurately.
- Maintain HIPAA compliance and confidentiality standards.
- Update patient records within the CRM and EHR systems.
Patient Communication
- Serve as the primary point of contact during onboarding.
- Follow up with patients regarding missing documentation.
- Provide appointment reminders and onboarding support.
- Address patient questions and concerns professionally.
Administrative Support
- Maintain accurate records and data entry.
- Track intake metrics and patient conversion rates.
- Assist with workflow improvements and process documentation.
- Support special projects as assigned.
Qualifications:
- Fluent in both English and Spanish (spoken and written).
- Excellent verbal and written communication skills.
- Previous healthcare, telehealth, behavioral health, or medical office experience preferred.
- Experience with patient intake, scheduling, or customer service.
- Strong attention to detail and organizational skills.
- Ability to multitask in a fast-paced environment.
- Professional phone presence and customer-focused mindset.
- Comfortable learning and utilizing CRM, EHR, and scheduling platforms.
Preferred Qualifications:
- Experience verifying insurance benefits.
- Experience working with senior populations.
- Knowledge of HIPAA and healthcare compliance requirements.
- Previous remote work experience.
Schedule:
- Full-Time
- Monday – Friday
- 9:00 AM – 5:00 PM (Client Time Zone)
