Overview:

We are seeking a highly organized, resourceful, and inquisitive Business Development & Executive Virtual Assistant to provide administrative, business development, research, and personal support to a busy business owner. This role is ideal for someone who enjoys figuring things out, researching answers, staying organized, and taking initiative. The successful candidate will be trusted to manage recurring responsibilities while also handling a variety of ad hoc requests that require good judgment, attention to detail, and resourcefulness. The role will primarily focus on business development and executive support, with personal administrative assistance as a secondary responsibility.

Key Responsibilities:

Business Development & Lead Management

  • Organize and maintain an accurate database/list of business development leads and prospects.
  • Research and identify new potential contacts, companies, and business opportunities.
  • Find relevant decision-makers and contact information through online research and other appropriate sources.
  • Develop and maintain outreach cadences for leads, prospects, and follow-ups.
  • Track outreach activity and ensure timely follow-up with prospects.
  • Send LinkedIn connection requests and support the client’s established LinkedIn prospecting system.
  • Help maintain organized records of conversations, prospects, follow-ups, and next steps.
  • Conduct ad hoc market and prospect research as requested.
  • Proactively identify useful information and opportunities that may support business development efforts.

Email Management

  • Clean up and organize the client’s business email inbox.
  • Identify and unsubscribe from unnecessary newsletters, promotional emails, and other unwanted communications.
  • Monitor incoming email and flag or escalate urgent or high-priority items.
  • Help maintain an organized inbox and ensure important messages do not get overlooked.
  • Manage and organize the client’s personal email inbox as a secondary responsibility.

Quote & Follow-Up Management

  • Maintain a list of outstanding quotes and proposals.
  • Track when quotes were sent and when follow-up is due.
  • Remind the client about outstanding follow-ups.
  • Maintain accurate status updates and notes for each opportunity.
  • Research and provide relevant information needed for follow-up when requested.

Calendar & Meeting Coordination

  • Coordinate meetings and appointments when needed.
  • Manage scheduling primarily through TidyCal.
  • Maintain and organize the client’s calendar.
  • Help ensure important appointments, deadlines, family commitments, and events are properly tracked.
  • Provide reminders for upcoming commitments as appropriate.

Social Media Support

  • Maintain the client’s social media content calendar.
  • Schedule LinkedIn posts according to an established content system.
  • Organize upcoming content and ensure posts are scheduled on time.
  • Follow the client’s existing social media workflow and systems.
  • Assist with LinkedIn content creation in the future, if needed.

Travel & Administrative Support

  • Make occasional travel arrangements, including researching flights, accommodations, transportation, and other logistics.
  • Handle miscellaneous administrative tasks and research projects as assigned.
  • Take ownership of ad hoc “look into this” requests and return clear, useful findings.

Personal Administrative Support — Secondary Priority

  • Clean up and organize the client’s personal email inbox.
  • Unsubscribe from unnecessary communications.
  • Monitor personal email for important items.
  • Help maintain the client’s personal calendar and family-related commitments.
  • Provide occasional personal administrative assistance as needed.

Future / Potential Responsibilities

Depending on the candidate’s skills and the evolution of the role, additional responsibilities may include:

  • Creating LinkedIn posts and other social media content.
  • Designing marketing materials using Canva.
  • Making occasional updates to a Wix website.
  • Creating or editing marketing collateral.
  • Improving the visual presentation of PowerPoint reports and proposals.
  • Supporting broader marketing and business development initiatives.

Required Skills & Qualifications:

  • Previous experience as a Virtual Assistant, Executive Assistant, Business Development Assistant, Research Assistant, or similar role.
  • Excellent organizational and time-management skills.
  • Strong written and spoken English communication skills.
  • Strong internet research and information-gathering abilities.
  • Highly resourceful and capable of finding answers independently.
  • Naturally curious and inquisitive.
  • Strong attention to detail.
  • Comfortable managing multiple priorities and deadlines.
  • Able to follow established systems while also identifying opportunities to improve them.
  • Comfortable working with confidential and sensitive information.
  • Proficient with Google Workspace, Microsoft Office, email, calendars, and online research tools.
  • Comfortable using LinkedIn for professional networking and prospect research.
  • Willing and able to use ChatGPT or other AI tools responsibly for research and productivity, while maintaining confidentiality.

  • Experience with business development or lead generation.
