Overview:

We are seeking a detail-oriented and reliable Bookkeeping & Payroll Virtual Assistant to support our growing bookkeeping and payroll operations. This role is ideal for someone with strong experience in QuickBooks Online and a foundational understanding of payroll processes. The VA will assist in maintaining accurate financial records, supporting payroll processing, and ensuring smooth day-to-day bookkeeping workflows for small business clients, including e-commerce, retail, and service-based businesses. The goal of this role is to allow leadership and senior bookkeepers to delegate most operational tasks, with only monthly reviews required.

Key Responsibilities:

Bookkeeping Support

  • Perform accurate data entry and transaction categorization in QuickBooks Online
  • Reconcile bank, credit card, and loan accounts
  • Identify and resolve discrepancies in financial records
  • Maintain organized and up-to-date financial documentation
  • Assist in preparing monthly financial reports for review

Payroll Support

  • Assist with payroll processing using Rippling
  • Ensure payroll data accuracy, including hours, deductions, and employee information
  • Support payroll reporting and compliance documentation
  • Flag payroll issues proactively and recommend solutions

Operational & Workflow Support

  • Follow and maintain documented workflows and procedures
  • Communicate clearly with internal teams regarding task progress and issues
  • Maintain strict confidentiality and data security standards
  • Assist with client data requests (no phone calls or collections required)

Success Metrics (First 30–60 Days):

  • Day-to-day bookkeeping and payroll tasks completed independently with minimal supervision
  • Consistent accuracy in QuickBooks Online data and reconciliations
  • Payroll support tasks handled reliably and on schedule
  • Clear workflows and documentation established and maintained
  • Proactive communication when issues arise, with suggested solutions
  • Measurable reduction in hands-on involvement from the client and senior staff

Required Qualifications:

  • Proven experience with QuickBooks Online
  • Strong understanding of bookkeeping fundamentals (reconciliations, categorization, financial reports)
  • Basic payroll knowledge; experience with Rippling is a strong advantage
  • Excellent attention to detail and accuracy
  • Strong organizational and time management skills
  • Ability to work independently and follow structured processes
  • Comfortable working with sensitive financial and client data
  • Availability to work during Eastern Time business hours

Work Setup:

  • Remote
  • Full-Time (30-40 hours per week)
