Overview:

We are seeking a highly organized and detail-oriented Virtual Assistant to support bookkeeping and tenant relations for a growing real estate portfolio. The portfolio includes 20–25 single-family homes and multiple larger properties with 50–70 units. The ideal candidate has hands-on experience with RentManager and a strong background in real estate bookkeeping and tenant communication.

Key Responsibilities:

Bookkeeping & Financial Management

  • Manage accounts receivable and payable across multiple properties
  • Perform bank reconciliations per property
  • Process and coordinate bill payments with proper approval workflows
  • Maintain accurate and up-to-date financial records in RentManager
  • Assist in generating financial reports as needed

Tenant Relations & Administration

  • Handle tenant onboarding within RentManager
  • Manage rent collection and follow-ups on outstanding balances
  • Communicate with tenants regarding payments and account-related concerns
  • Maintain organized tenant records and documentation

System & Process Management

  • Utilize RentManager to its full capacity for both financial and tenant management tasks
  • Ensure all data is accurately entered and maintained in the system
  • Follow established SOPs and contribute to process improvements

Requirements:

  • Proven experience with RentManager (non-negotiable)
  • Strong bookkeeping experience (AR/AP, reconciliations, reporting)
  • Background in real estate or property management
  • Excellent attention to detail and organizational skills
  • Strong written and verbal communication skills
  • Ability to handle sensitive financial information with integrity
  • Comfortable working with monitoring tools and structured workflows

Spanish-speaking ability (preferred but not required)
